Mayor Sorenson,

Thanks so much for the reply.  I appreciate the feedback and agree with you 100%.  Our number one priority is that we minimize the impact that any of our events have on the communities that we are in.  I am committed to minimizing the impact to every extent possible.  The maximum number of runners would be 460 if the event sells out completely, that being said, I would anticipate a number closer to 350 realistically.  I went online and downloaded the Huntsville Special Event Permit this morning and will submit it today. I apologize that we haven't filled one out in the past.  We will definitely make this our practice moving forward.   I sincerely appreciate your consideration of allowing us to have our runners in your community.  Thank you very much for such a great partnership.

Eric,

Huntsville Town has a couple of concerns about 500 runners running through town, especially with the high snowbanks that have created narrow roads.  Our residents have expressed frustration over the years with the frequent endurance events impacting their ability to travel freely through town and the surrounding areas.   

We concur that eliminating the 6900 and 6800 east circuit and instead going to Cemetery point should help.  Hopefully we will have some snow melt in the next two weeks to help alleviate some of the constrictions.

Additionally, under Title 8.7 of our codes, events require a "special event permit" and Town council approval.  We want to be accommodating, but ask that you reach out and secure the permit for future events.

Hello Review Committee:  Update on Previous Comment 3/17/23 3:30pm

I spoke with Principal Crystal Deamer from Valley Elementary School and she granted permission for us to use the parking lot at Valley Elementary for parking and the Start/Finish Line for our event on April 1st.  They are drafting a MOU that we will sign.  I have also listed Weber School District/Valley Elementary as an additional insured on our liability insurance.  I will upload the new additional insured certificate as soon as I receive it.  Thank you again for your consideration of our request.

Hello review committee,

Due to the snow load in the valley, we are requesting that our previously approved Winter Running Series half marathon application be amended.  The snow load at Eden Park does not allow for our parking area to be accessed and therefore we are working with the principal of Valley Elementary to determine if we can park our participants and start and finish the race at the school parking lot.  The Pineview Loop trail that we run on is also under snow not allowing us to run on the trail.  We are working with Weber County Sheriff's Office to have our runners follow our same course, but run on the road instead of the  Pineview Loop Trail since it is under snow.  Lieutenant Brent Butler has agreed to have his officers have a pilot car to pilot traffic from Valley Elementary to 100 S. in Huntsville where our runners turn west and run into Huntsville Town.  For this portion, we would have runners in the eastbound lane and have WCSO pilot traffic in the westbound lane during the race.  For the area in Huntsville, our runners would run our previous course but then run to cemetery point, and then turn around and follow the same route back to Valley Elementary. The race begins at 8:00 am on April 1st and will be finished by 12:30 pm.  We will follow the same safety plan that was outlined and approved in our previous application.  Everything on our previously approved application will remain the same other than starting and finishing at Valley Elementary instead of Eden Park and running on 1900 N. instead of the Pineview Loop Trail.  I sincerely appreciate your consideration and review of this change due to higher snow loads than we have experienced in the past.  Please feel free to reach out to me with any questions whatsoever.  Thank you-Eric Bauman

Allen,

Yes, we will be using directional and safety signs to direct runners on the course.  The signs are large 4x4 and 6x6 orange reflective signs from traffic safety rentals.  The signs consist of road closed and detour signs.  We also use directional arrows on the course for runners at any point where there is a change in direction on the course as well as race in progress signs.  The runners are on the pineview loop trail for 90% of the race so we provide directional confidence arrows on the pineview loop trail. When the runners turn west to Huntsville, we have directional arrows as well as a staffed water station with volunteers directing runners..
